The space-saving advantages are obvious when you consider that, for example, 100 boxes of paper files can be transformed into electronic data occupying just 4 DVDs. Digitising paper records can significantly lower the costs associated with the printing, copying, storage and mailing of documents. Once all of the stacks and cabinets of paper files have been transformed into electronic documents they are easily searchable and retrievable.
Datacare has particular expertise in handling sensitive documents, such as children's files or social services records. If, following digitisation, there is a legal need to retain the paper file, our storage archives are located on the same site as the scanning bureau. This means that records can be pulled from the archive, scanned and re-filed without ever leaving the site.
Our superior facilities are located on an ex US Air Force base, protected by 24 hour security and a razor wire perimeter fence built to NATO standards. The Hardened Aircraft Shelters we have converted into archives following the guidelines of BS5454 are tough enough to withstand a missile attack. All building access is strictly controlled via the use of electronic key-fob technology. Every member of staff has been CRB checked and all staff working with particularly sensitive information are further scrutinised through enhanced CRB checks.
