The project scope included:

  • Relocation of 350+ staff from two London sites.
  • Decommissioning and recommissioning of approximately 450 user IT setups.
  • Packing and transporting 300+ crates.
  • Relocation and setup of 8x meeting booths.
  • Provision of clearance and storage services for excess furniture and equipment.
  • Packing, loading, and delivering 400+ desks and office chairs to RHG’s secure storage facility.

The overall objective was to deliver a seamless, zero-downtime relocation, ensuring the client’s teams were fully operational in their new workspace from day one.

The Challenges

The Monday.com relocation presented several operational challenges that required careful coordination and flexibility:

  • IT Priorities: The client required that all meeting room technology and user IT kits were relocated and recommissioned first, ready for “go-live” day.
  • Concurrent Contractors: The move had to be delivered alongside multiple on-site contractors, necessitating tight coordination around loading bays and goods lifts.
  • Evolving Scope: Late programme changes saw an increase from 350 to 450 IT users and additional furniture items requiring storage.
  • Restricted Access: Shared use of the lift and loading bays at the new site required continuous communication and on-site management to avoid delays.

These factors demanded a highly flexible delivery model and close communication between the RHG team our client.

The Solution

Collaborative Planning:

  • Conducted multiple face-to-face planning meetings and site visits to align logistics and sequencing with Monday.com’s operational requirements.
  • Created a shared Excel move plan, continuously updated to reflect schedule changes and additional requirements.
  • Worked closely with the client’s project manager and IT lead to finalise departmental move orders and technology setups.

Specialist Delivery Teams:

  • Dedicated teams were assigned for packing/unpacking, IT relocation, and furniture moves.
  • A specialist contractor handled the transportation and setup of 8x large meeting booths.
  • A pre-move IT audit was carried out to determine the exact specifications and volume of equipment.

Efficient On-Site Operations:

  • Teams worked in structured phases, ensuring continuous supervision by RHG move managers and drivers during all loading and unloading activities.
  • The project surveyor conducted regular on-site checks and a final walk-through with the client to ensure satisfaction.

  • RHG adapted resources and schedules dynamically to accommodate Monday.com’s evolving requirements, including additional IT setups and storage deliveries.
