Restore Harrow Green was appointed through a competitive tender process by NHS Wales Shared Services Partnership (NWSSP), acting on behalf of Digital Health and Care Wales (DHCW), part of Velindre NHS Trust delivering complex relocations and off-site storage solutions across five NHS sites: Cardiff, Swansea, Pontypool, Bridgend, and Mamhilad.

The project included logistical planning, phased collections, dismantling and safe handling of NHS furniture and equipment, secure storage, and digital compliance with NHS invoicing protocols, all conducted while maintaining business continuity across DHCW’s active clinical and office environments.

The Challenges

The scope and complexity of the programme presented several key challenges:

  • Multi-site coordination: Delivering simultaneous operations across five locations with differing access requirements and operational sensitivities.
  • Live environment logistics: Ensuring the relocation did not disrupt daily healthcare operations, with some work needing to be completed outside of core hours.
  • Asset traceability: Guaranteeing item-level control of assets across varied locations and storage facilities.

NHS digital compliance: Aligning to DHCW’s e-trading platform and supporting paperless invoicing systems.

Each of these challenges required strict adherence to NHS guidance, site-specific protocols, and proactive stakeholder communication.

The Solution

Restore Harrow Green developed a phased relocation and storage strategy tailored to each site. Our project teams coordinated directly with Facilities and Estates leads to define collection windows, access protocols, and site-specific safety measures.

All items were dismantled, securely wrapped, and transported via our FORS-compliant fleet, using GPS-tracked vehicles including EVs, 17T trucks, and Luton vans. Items were barcoded, photographed, and logged on departure, then stored at our secure Bristol depot with full audit control, weekly checks, and client-approved access protocols.

Our digital team ensured all invoicing aligned with NHS digital requirements, including structured PO-matched billing and secure PDF submissions.

The Outcome

The project was delivered on time, on budget, and with zero health or safety incidents. DHCW praised our ability to operate flexibly across diverse NHS environments while maintaining complete transparency, accuracy, and professionalism.

The client reported high satisfaction with our logistical execution, asset traceability, and responsiveness. We also helped drive environmental and social value by consolidating journeys, using EVs where feasible, and redistributing reusable equipment through our Refresh donation programme – supporting schools, charities, and community groups.
