
In this anonymised case study, a UK government agency in the defence vertical faced two significant challenges relating to its physical document archives.

1) Data Extraction:
The agency needed to extract long-held and valuable information from a vast collection of historical, paper-based documents for data analysis.
2) Digitisation for Contractual Obligations:
Supporting the agency’s development of their supply chain, a large volume of small to large format media was required to be digitised to enable cost-effective productivity gains.

To address these challenges, Restore was engaged to provide document digitisation services.
Restore was selected due to the extensive experience in dealing with high security scanning and document management within heavily regulated industries. With appropriate security approval and clearances for the site and people, Restore is well placed to deliver such projects.
For the two projects, we followed these steps:
Project One: Data Extraction
- Close collaboration with the Restore Records Management team to organise the logistics of delivering over 4,000 boxes of documents.
- Restore Records Management also applied internal identification of appropriate files for digitisation against security classifications.
- Dedicated project management and operational teams were established for the efficient and secure handling of documents throughout the project to ensure key milestones. A single chain of custody within Restore meant the process ensured tracking and accountability.
- Image preparation of documents for subsequent data extraction
Project Two: Digitisation for Contractual Obligations:
- Multiple collections and secure transportation of approximately 550 boxes of documents from the agency’s site.
- High-quality scanning of all documents.
- Secure upload and delivery of scanned data to the client.
- Safe return of original documents to the client.

- Each project demanded completion within tight deadlines. Restore successfully delivered both projects as promised:
Project One: Completed in under three months, enabling the agency to accelerate its data analysis processes. Boxes were received, processed, checked and returned to storage for safe keeping.
Project Two: Successfully digitised all documents to specification, ensuring the agency remained on target to meet its own key milestones. All boxes were processed, checked and returned to site on completion.
