How does it work?
Your data, your way
Send us your customer data in whatever format you like. Word Document or delimited text file, PDF or XML, PostScript or HTML. You could send it by morse code if you want; our systems can handle any format you can dream of.



Checks
We check we have everything we need. This involves validating and deduplicating the data, ensuring format translations are in place for AIS, and that every message will fit into the workflow we designed to meet your requirements.

Production
We’ll intelligently route your letters to the production facility nearest their ultimate destinations (reducing delivery emissions). With no minimum volume requirements, we’ll happily print 10 letters for you one month, 10,000 the next. Whatever you need.

Delivery
We sort and prepare your letters ready for our delivery partners. Our preparation is so thorough they give us a discount, lowering your costs further. Any returns are securely shredded on site to keep any confidential information safe as very secure houses.

Reporting
We’ll report back on what you’ve sent, when, how, and if there were any delivery issues. Your dedicated account manager works through the reports with you, highlighting opportunities to make your next communication even better.
Helping the NHS contact the nation
When the COVID-19 vaccine became available, the NHS needed to contact a lot of people in a short space of time. So it turned to Restore Information Management’s Outbound Mailroom service.
And we helped create an intelligent mail and SMS campaign that delivered over 131 million messages.
It began with an electronic communication from NHS Notify. Where that failed or went unread, it automatically triggered a letter or SMS message. We sent vaccine appointment invitations, automatic follow up reminders, and prompts to book a 2nd dose. We even sent targeted campaigns to geographical locations where cases had spiked.
In total, we sent over 77 million letters and 54 million SMS messages covering both COVID-19 and flu vaccine invitations. Yet our production capacities meant that, despite the sheer volumes involved in this campaign, our normal business was entirely unaffected.
