Each record is checked against the supplied manifest to ensure accuracy and traceability before being triaged by trained operators. Document condition is assessed to determine appropriate digitisation methods and specialist equipment requirements.

Our scanning team are experienced in preserving fragile documentation during digitisation. Specialist non-destructive scanning equipment is used to capture high-resolution images without unbinding or damaging documents. All activity is logged, including operator details and timestamps, to support reporting and audit requirements.

Where possible, minor stabilisation work can be carried out, such as unfolding creases or reinforcing fragile pages using conservation-safe materials. If mould or significant deterioration is identified, documents are isolated and returned or referred to specialist restoration partners to mitigate preservation risk.

Following digitisation, images undergo structured quality assurance checks before being uploaded to a document management system for client review and approval. Records remain within secure facilities until quality controls are fully completed.

Once they are digitised, all completed records will be refolded as received (where size and original inserts permit) and put back in their original box for tracking purposes. In the unlikely event that there is further degradation to fragile documents during this process, we will notify you immediately.

We use the Zeutschel OS range of non-destructive conservation scanners, approved by The National Archives and widely used by institutions such as The British Library. These scanners support high-quality digitisation while preserving fragile materials.
These machines can be calibrated at the touch of a button to maintain consistent image quality, regardless of background environmental condition. Dedicated post-production workstations enable cropping, colour correction and de-skewing to ensure image consistency and digital preservation quality standards are maintained.
