Quick and compliant offsite storage for insolvency practice

The customer

A leading business recovery, financial advisory and property services consultancy in the UK. They provide services via a nationwide network of over 100 offices, with clients ranging from small businesses and professional advisers to large corporations and financial institutions.

We’ve been providing them with an ongoing service for over 15 years.

Our customer required an ongoing service to act on insolvency requests, providing same-day quotations and quick pickups within a week, some picks needed to be the same day.

Each insolvency project may have a different requirement from just needing storage to pre-packing, indexing and creating a full online inventory.

We understand the key requirements of an insolvency project. Our dedicated team designed processes to ensure that our customer could ‘hit the ground running’ with their projects once they are appointed.

They needed a partner they could trust, who could help them co-ordinate the pickup with someone on site and help to vacate the property quickly. By fully understanding each of the possible requirements, Restore Records Management created a quoting framework, enabling us to provide the customer with an accurate quote on the same day. With over 50 locations across the country, we can schedule and provide quick pickups due to being positioned locally to each office, meeting their SLA’s.

Our flexible service enables us to provide the customer with a range of services. From picking up boxes of files and storing them, right through to packing, cataloguing by caseload and name right through to cataloguing them in a certain way at file range.

We also added records to our portal providing a full online inventory. When an organisation goes into administration, the records need to be kept for 7 years. Our retention services highlights the end of the 7 years to help our customers with the decision around destructions. Depending on each requirement we either destroy or extend the period of retention.

The key concerns – regaining control and security – have been fully addressed. The security at Rainham and of the supply chain has been 100%, thanks to our streamlined, automated systems.
Keeping carbon emissions low (as per the S106 agreement) through dedicated deliveries removing 20 trucks a day from London’s roads.
60 pallets a week being put back into the supply chain, encouraging reuse.
Six cages of cardboard were removed from the site daily by Restore Records Management and recycled.
Further storage has been provided when equipment has been purchased but a lab may not be ready to receive it.
Our Account Manager provides bespoke monthly Management Information Reports which includes the number of vehicles and deliveries which is provided to Camden Council as part of the S106 agreement.
