Save time, money, and space with information management that gives you quicker, more reliable access to patient notes.
Patient record libraries can create delays, consume clinical space, and increase operational cost. Free up resource and funding, and improve patient flow, with secure information management designed for NHS records.
Save time, money, and spaceSupporting NHS Trusts on the journey to digital confidence
From secure off-site storage to digitising patient records and streamlining access to patient notes, we work closely with NHS Trusts to reduce reliance on paper-heavy processes and build more efficient hybrid environments. But transformation isn’t just about technology, it also depends on people, processes, governance, and clinical risk.

The problem with patient notes
More patients than ever are waiting for treatment. But delays in accessing patient notes can slow clinical decision-making and disrupt patient flow.
NHS record libraries continue to grow, making it harder for teams to retrieve the right file quickly.
Growing libraries also consume space that could be used for care. Some Trusts are even building new facilities to store patient notes, and those buildings still require staff time to locate, pick, and deliver records.
Digital patient notes promise to make life easier, but scanning alone does not solve every problem. Quality information management is needed to ensure records are findable, accessible, governed, and usable at the point of care.

Improving patient flow
Clinicians need quick, reliable access to patient notes (without cluttering valuable clinical space) so they can make faster decisions and improve patient flow.
Sometimes that means storing patient notes off-site. That’s why we built a UK-wide network of secure storage facilities, so that your notes are never more than two hours from your front door. We also operate a fleet of GPS-tracked vans to provide same-day delivery of records, with faster response options for urgent cases.

We also operate a fleet of GPS-tracked vans to provide same-day delivery of records, with faster response options for urgent cases.
Sometimes that means a hybrid between paper and digital records. For example, we might scan active records and store the remainder until they’re needed, providing same-day digital scanning on demand.
Or you might require a full digitisation programme, where we manage scanning and implement the systems and processes needed to give clinicians instant access to patient notes.
However your records are managed, we make them easy to find. Data capture, indexing and cataloguing processes enable searching by patient name, NHS number, and key terms. Teams can understand what’s inside each file before it’s retrieved, reducing delays and improving access at the point of care.
A digital NHS
Information management prepares the NHS for a digital tomorrow while delivering benefits today. Implementing quality information management for physical records establishes the foundations needed for safe digitisation, including:
- a data architecture that is clear, logical, and easy to use
- archiving and retrieval processes
- standardised metadata policies
- processes for non-standard data capture, covering everything from Post-It notes to ECGs
- access to both analogue and digital information at the point of care
These foundations reduce risk during digitisation by building on established systems and processes.
In the same vein, we combine proven technologies with proven expertise, so trusts don’t need to risk patient safety on untested approaches or partners.

We did it for West Hertfordshire Teaching Hospital
When West Hertfordshire Teaching Hospitals NHS Trust (WHHT) contacted us about digitising its entire patient records library, we gave them benefits today and supported them towards a digital tomorrow.
The trust urgently needed additional clinical space, with the added challenge of trying to manage two libraries shared by three hospitals. We established a dedicate transport solution so that staff could order files up to 5pm to be delivered by 7am the following morning.
We also implemented our Auto-Ordering System, freeing up the equivalent of 4 FTE staff by reducing the need to manually input the 23,000 orders they’d previously needed to place every month.
And with these systems in place, the trust is ready to take the next step on its digital journey. Find out more about how we did it.

Don’t take our word for it
"It can’t be understated, the sheer magnitude of what’s been achieved here. We are the first mental health trust that’s delivered a fully digitised record… But I don’t recall losing sleep over it. Because we were working with people we trusted. We let Restore handle all the headaches. "
Carl Starbuck, Head of Information Governance / Data Protection Officer, Leeds & York Partnership NHS Foundation Trust

“Restore Information Management staff have been excellent. We’ve totally changed the way we process patient records”
Jacqui Leahy, Operational Service Manager, Hampshire Hospital

“The core group of Restore Information Management staff have been excellent. We’ve totally changed the way we process patient records”
