Increasing clinical space and enhancing patient care for Oxford CCG

The customer

Oxfordshire CCG* established in 2013, is the organisation that plans, buys, and oversees health services for more than 700,000 people living in Oxfordshire. To do this they work with local people, local GPs, hospital clinicians and other partners, including local government and the voluntary sector.

Clinical commissioning groups (CCGs) were established as part of the Health and Social Care Act in 2012 and replaced Primary Care Trusts on 1 April 2013. CCGs are groups of general practices (GPs) which come together in each area to commission the best services for their patients and population.

Records had to be retrievable at all stages. To minimise costs, practice staff boxed up the records capturing the start and end range on the boxes. The files were then transported in one of our Restore Fleet of GPS- tracked vehicles to our secure facilities at Upper Heyford. Restore then completed the data capture of the box range on initial entry into the storage facility. This allowed access to the records for any emergency requirements during the file data entry stage. Restore then undertook the data entry of each individual record, capturing the name, NHS number and Date of Birth of each patient and uploading the data onto their Records Management System. Access to this was given to each practice via Restores online portal, RestoreWeb, which allowed each practice to view what records have been stored and request them for retrieval.

In a measured and flexible way, the project process and systems were set up within the agreed timeframes enabling the practices to free up much needed space for patient care. This will undoubtedly improve patient care experience and importantly the employee experience.

*From 1 July 2022, the new BOB Integrated Care Board (ICB) will take over the commissioning responsibilities of the area’s three Clinical Commissioning Groups (Buckinghamshire, Oxfordshire and Berkshire West) (CCGs – which will be dissolved from 30 June), together with some current national functions, including pharmacy, optometry and dentistry.
