Case Study – University College London

Project: Equipment refresh project for 319 desks over 17 locations within the UCL campus.

 

UCL completes an annual PC refresh programme in their Learning & Teaching spaces during the summer period. Restore Technology has worked with UCL for many years providing Server Equipment Relocation, desktop moves and disposal services so was a natural choice for this project. First completed in 2024, this project will be completed again in 2025 and is it expected to happen each year moving forward.

The end-user’s challenge

 

UCL has a large campus with many departments, learning spaces and facilities spanning multiple locations within London. With very limited loading bays and parking areas, combined with very little on-site secure storage the challenge was to find a supplier that can hold their equipment and then deploy to different locations on campus – bringing the new equipment to site only when needed and removing the old equipment at the same time.

The Restore Technology experience

 

Restore Technology took delivery of all assets to the Cardington facility – tracking equipment in to generate a full inventory. Weekly deliveries were co-ordinated based on the deployment plan to a forward hub inside the M25, this reduced travel time each day for the engineering team.

Three dedicated Restore Technology engineers were appointed to the project, with transportation, to deliver the equipment from the hub inside the M25 to UCL. Each day the engineers collected the equipment, tracked it on to the vehicle and delivered to site. On arrival, and working to an agreed deployment plan, existing equipment would be decommissioned, new equipment unpacked and installed to desk.

Once fully tested, old equipment would be removed from site along with all packaging & waste materials. These would then be delivered back to the logistics hub and tracked in. Old equipment would then be returned to Cardington for recycling, with full asset by asset tracking and reporting provided.

Restore Technology results

 

Restore Technology engineers completed 17 separate visits replacing equipment at 319 desks. Engineers arrived, delivered the equipment, decommissioned the existing set up and then installed and tested the new equipment.

All waste packaging and old equipment removed from site on the same day. Engineers tracked equipment at all stages of the project and provided a Serial Number to desk asset report each day and a disposal report at the end of the project.

Restore Technology continues to work with UCL on this and other projects and expect to complete the same refresh in 2026.
